Microsoft Copilot: make work context easier to follow

Start with Windows visibility

On Windows 11, go to Settings, Accessibility, Text size to make text larger. Use Settings, System, Display to scale more of the interface. If contrast is difficult, use Settings, Accessibility, Contrast themes.

Use Teams transcripts and captions

For meetings, Copilot can summarize discussion points, suggest action items and answer meeting questions. Microsoft notes that transcription is not always required to turn Copilot on during a meeting, but asking Copilot after the meeting about what was said requires a transcript to be available.

Ask Copilot for structure

Do not accept a long recap if you need action. Ask for fixed headings: decisions, actions, owners, deadlines, open questions and risks. This makes output easier to scan, read aloud and share.

Use text and audio together

Microsoft Teams audio recaps use transcripts from up to 8 meetings during the time period you choose. They can be useful when listening is easier than reading. Keep a text summary available too, because text is easier to search, translate, enlarge, quote and review later.
